Technology Solutions
What does Managed Ministry Hosting actually include?
Everything your church needs to have a professional presence online — a fully managed website, a custom domain, and professional email addresses (like pastor@yourchurch.com). We handle setup, maintenance, security updates, and technical support so you never have to call a web developer or figure out a control panel. You focus on ministry. We keep the lights on.
What does an AI agent actually do for a church, in plain terms?
Think of it as a tireless digital staff member who never calls in sick. Depending on how we configure it for your ministry, your AI agent can listen to board meetings and generate summaries, draft your weekly newsletter from your sermon notes, manage your prayer request inbox by organizing and routing requests, and answer common member questions automatically. It does the administrative work that currently eats your time — so your staff can do the work that actually requires a human.
How secure is my church's data? We deal with sensitive counseling and financial records.
Your security is non-negotiable to us. Our conference and recording systems are self-hosted — meaning your counseling sessions, leadership meetings, and sensitive conversations are never processed or stored on third-party commercial platforms that scrape or sell data. Your records are encrypted, access-controlled, and held to the same standards we would want for our own most private conversations. We will walk you through exactly how your data is protected before you commit to anything.
We have years of paper records and old systems. How does the Paperless Pulpit migration actually work?
We start by doing an inventory of what you have — paper files, spreadsheets, old software, external drives — so we know exactly what we are working with. Then we build a migration plan that moves your records, sermon archives, tithe history, and member data into a secure cloud system in organized phases, so nothing gets lost and your ministry never goes dark during the transition. We also train your staff on the new system before we hand it off. You are not left alone with new technology.
How is your technology pricing structured? Is it a one-time cost or ongoing?
Most of our technology services are offered as monthly or annual managed packages, because ministry technology is not a one-time setup — it needs ongoing maintenance, security, and support. We offer tiered pricing based on church size and service level, and we are always transparent about what is included before you sign anything. We do not believe in locking ministries into contracts they do not understand. Schedule a consultation and we will build a package that fits your budget and your actual needs.
Business Consultation
What does an Operational Audit involve, and do I need one?
An Operational Audit is a structured review of how your ministry or nonprofit actually runs day to day — your administrative workflows, your financial processes, how staff time is spent, and where your systems are creating friction instead of supporting your mission. If you have ever felt like your church is working harder than it should for results that feel smaller than they should, an audit will show you exactly why. We identify the gaps, the redundancies, and the money and time being lost to manual labor — then give you a clear action plan to fix it. Most ministry leaders are surprised by what they find.
We need to set up a 501(c)(3). What does that process look like with you?
We handle it from the ground up. That includes helping you choose and file the right legal structure (LLC, nonprofit corporation, or other), drafting your bylaws and organizational documents, preparing and submitting your 501(c)(3) application with the IRS, and setting up your initial bookkeeping and financial systems once you are approved. The IRS process takes time — typically three to six months — but we manage the complexity so you are not navigating federal compliance alone. We also make sure your governance structure is sound from the beginning, because it is much harder to fix later.
What is included in a Virtual Executive Assistant (VEA) package?
A VEA package gives you a human-AI hybrid team that manages the operational details of your leadership life. Depending on your package level, that includes calendar management and scheduling, travel coordination, financial tracking and expense reporting, email and correspondence management, and coordination with your staff and ministry partners. The human side of the team provides relationship, judgment, and discretion. The AI side provides speed and capacity. Together, they make sure your time is protected and your priorities are reflected in how your calendar actually looks.
How long does it take to see results from Business Consultation services?
It depends on the service. An Operational Audit produces findings and recommendations within two to four weeks of the initial review. 501(c)(3) filing timelines are set by the IRS, not by us, but we keep the process moving as efficiently as possible. Strategic Growth Mapping typically takes four to six weeks to develop a thorough 1-year and 5-year roadmap. VEA services begin producing noticeable relief within the first thirty days. We set realistic timelines at the start of every engagement and we do not overpromise. Ministry is long-term work and we treat it that way.
Is Business Consultation only for large churches, or do smaller ministries qualify?
This is built for ministry leaders at every stage — including those just starting out. Whether you are a solo pastor planting a church, an evangelist formalizing your ministry into a business structure, or a mid-size church that has outgrown the way it has always done things, we have services scaled to where you are right now. You do not need to be large to need good governance, smart operations, or a strategic plan. In fact, building the right foundation early is exactly what allows small ministries to grow without breaking.
Counseling & Coaching
What is The Preacher's Chamber, and is it counseling or coaching?
The Preacher's Chamber is one-on-one executive coaching designed specifically for senior pastors — and it sits at the intersection of both. It is not therapy, though it takes the emotional and spiritual weight of leadership seriously. It is not generic life coaching, though it addresses the whole person. It is a structured, private coaching relationship built around the specific pressures of leading a church: burnout, isolation, the expectation that you have no needs, the weight of being responsible for a congregation's spiritual health while managing your own. If you are leading people and nobody is leading you, this was built for you.
Is everything I share in counseling and coaching sessions kept confidential?
Yes. Confidentiality is foundational to every service we offer under Soul Care for Leaders. Your sessions are conducted on our private, self-hosted video platform — not Zoom, not Google Meet, not any commercial system that processes or stores your data on third-party servers. What you share in a session stays in the session. We take the pastoral responsibility of holding your story seriously, and we will explain our full confidentiality policies before your first appointment so you can engage with complete confidence.
What does Crisis Management for Leadership actually look like when a church is in conflict?
It starts with listening — not taking sides. We come into a leadership crisis as a neutral, biblically grounded third party. That might mean facilitating structured conversations between a pastor and a board, helping a congregation navigate a leadership transition, working through a situation of staff conflict or financial accountability, or providing a stable outside voice when internal relationships are too charged for clear thinking. We do not come in with an agenda. We come in with experience, Scripture, and a commitment to helping your leadership body move through the crisis without fracturing beyond repair.
Who qualifies for Counseling & Coaching services?
Our coaching and counseling services are designed for ministry leaders — senior pastors, associate ministers, evangelists, worship leaders, and church administrators who carry significant leadership responsibility. Pre-Marital and Family Discipleship is open to couples and families connected to ministry communities. You do not need to be in crisis to begin. Many of our most fruitful coaching relationships start before the breaking point — with leaders who are proactive about sustaining their health and clarity. If you are in a position of leadership and you are carrying it largely alone, you qualify.
How do sessions work logistically? Do I have to come in person?
All of our counseling and coaching sessions are conducted through our secure, private video platform — so you can meet with us from your office, your home, or wherever you have thirty minutes of privacy. Sessions are scheduled based on your availability, not ours — we build around the reality of a ministry leader's schedule. Depending on the service, sessions are typically fifty to sixty minutes, held weekly or biweekly. You will always know what to expect before your first session, and you will never be locked into a commitment that does not serve you.
